Southwest Warriors CIC – Club Terms and Conditions
Effective Date: 1 May 2025
1. Agreement By registering with Southwest Warriors CIC you agree to these terms on behalf of yourself and, where applicable, your child. These terms apply to all members, parents, and guardians.
2. Membership and Registration Registration is confirmed once your Spond application has been approved and any applicable fees have been paid. The club reserves the right to refuse or cancel a membership at its discretion.
3. Fees and Refunds Session and membership fees are due at the time of booking. Fees are non-refundable once a session or camp has started. Where a session is cancelled by Southwest Warriors CIC, a full refund or credit will be offered. No refund will be given for missed sessions due to absence, suspension, or withdrawal.
4. Code of Conduct All members, parents, carers, coaches, and spectators are expected to behave respectfully at all times. Abusive, threatening, discriminatory, or violent behaviour will not be tolerated and may result in suspension or permanent removal from the club without refund.
5. Parental Responsibility For members under the age of 18, a parent or guardian must complete registration and accepts responsibility for ensuring their child attends sessions appropriately prepared, including suitable sports clothing, trainers, and a water bottle. Parents and carers are responsible for collecting their child promptly at the end of each session.
6. Health and Medical Disclosure By registering, you confirm that you have disclosed any relevant medical conditions, injuries, or allergies that the coaching team should be aware of. Southwest Warriors CIC must be informed of any changes to a member's medical condition during their membership. Participation is at the member's own risk.
7. Safeguarding Southwest Warriors CIC is committed to the safety and wellbeing of all young people in its care. All coaches hold relevant DBS clearance. Any safeguarding concerns should be reported to our Safeguarding Lead, Rodney Gear, at [email protected] or 07749464126. In an emergency where a child is at immediate risk, call 999.
8. Photography and Media Use of photography and video at Southwest Warriors CIC sessions is governed by our Photography and Filming Policy, available at southwestwarriors.org/photography_and_filming_policy. Consent is obtained separately at the point of registration.
9. Data Protection Southwest Warriors CIC collects and processes personal data in accordance with UK GDPR and the Data Protection Act 2018. Your data is used for club administration, communication, and safeguarding purposes only. We will not sell or share your personal data with third parties without your consent, except where required by law. For queries contact [email protected].
10. Cancellations by the Club Southwest Warriors CIC reserves the right to cancel or reschedule sessions due to circumstances beyond our control including venue issues, extreme weather, or public health measures. We will communicate changes as soon as possible via Spond.
11. Discipline and Appeals All complaints or concerns should be submitted in writing to [email protected]. The management committee will respond within 14 days. Members have the right to appeal any disciplinary decision within 14 days of notification.
12. Governing Law These terms are governed by the laws of England and Wales.
